The Transaction Coordinator role is an entry level position. The goal for this role is to learn the industry while providing administrative support to our loan officers. Eventually, this person will transition into a File Specialist position, and we'll hire a new Transaction Coordinator.
The Transaction Coordinator makes sure our customers, real estate agents, and referral partners have a five-star experience. This person takes much of the administrative burden off the shoulders of our loan officers, so they spend more time helping customers.
The Transaction Coordinator manages email, answers phones, gathers paperwork, maintains calendars to meet deadlines, and owns the disclosure process for our customers. They assist customers in collecting paperwork, deliver customer gifts, and maintain electronic files in our database. Utilizing proven processes and procedures, the Transaction Coordinator keeps the entire train on the track, and ensures that customers reach the correct station on time.
The File Specialist helps loan officers manage their pipeline of customers. They handle all internal procedures to help customers own homes. They order credit reports, review loan applications and customer paperwork, analyze mortgage lending guidelines, and create loan estimates for customers. The File Specialist works hand-in-hand with loan officers to manage the back end of the loan origination process.
The File Specialist will be expected to (eventually) obtain a Mortgage Loan Originator's license.
This person must be eager to learn. In a few years, they will become well versed in our team's processes and procedures, business strategies, specialized software and technical resources, industry guidelines, federal mortgage law, factors driving mortgage interest rates, and more!
The successful Transaction Coordinator > File Specialist should have excellent communication skills. This person will regularly correspond with customers, teammates, and referral partners via text, phone, email, and/or video. They will need to master the art of patiently and politely instilling urgency. Solid grammar and spelling should be used to communicate succinctly and effectively.
Outstanding technical skills are a must! We spend most of the day in front of a computer. While this person probably won't have experience with the exact databases and systems we use (they're specific to the mortgage industry), they should be comfortable entering information into a database, using common Windows applications, navigating the Internet and social media, and learning new systems and programs.
This person will need to be organized and detail oriented as they monitor dozens of files - all at different stages in the loan process - to make sure customer needs are addressed immediately, paperwork is signed promptly, and closing dates are met.
This person should have good reading comprehension skills along with the desire to become a licensed loan originator and grow with the team and the company.

This is a full-time, 40-hour per week job (mostly) during business hours. The Transaction Coordinator > File Specialist will primarily work from our office in Port Townsend.
